Editing checkpoints




In TabTool PV O&M, you can tailor inspection checklists precisely to match the scope of services agreed upon in the service contract. Predefined checklist components are available, which can be individually combined and supplemented with custom checkpoints as needed. This ensures that the inspection checklist for your service staff includes only the checkpoints relevant to their tasks.


To edit inspection checklists, log in to the TabTool Office web application and open the system menu. There, click the "Checklists" button.




A window opens with the "Checklists" menu. Click on the menu item "Inspection orders":



Here you can choose between the following menu items:


Lists

Under this menu item you can define the checklists and scopes for your main types of inspections or inspection services, such as commissioning inspection, annual inspection, periodic inspection according to DGUV 3 and more.


Options

Here you create and edit the checklists for optional tests that you carry out in addition to your main inspections, e.g. thermography examinations, performance measurements, etc. The options for editing the checklists are the same as for the "Lists" menu item.


Edit checkpoints

Under this menu item you can edit and customize the chapters and inspection points available for creating inspection checklists in detail. 



Defining lists and options

In the "Lists" menu you will already find some predefined lists that you can edit to adapt them to your specific needs.


Additionally, you have the option to create a new inspection checklist by clicking the
 button.


The following editing options are available for both existing and newly created lists:


  • Enter name and description

You can enter a name and description for each list or change existing information as desired.



  • Enter translations for name and description 


If you want to provide checklists in languages other than English, you can enter translations for the checklist's name and description.

To do this, click the blue triangle next to the language setting "English". This will open text fields where you can input the corresponding translations.




  • Define the scope of the checklist

In the next step you can define the scope of the checklist.

First, select which of the displayed inspection groups (solar panels, cabling, substructure, etc.) should be included in the checklist. If you want to remove an inspection group, uncheck its checkbox on the right side.





You can also define the scope of each individual inspection group more precisely. To do this, click the black arrow next to the checkbox of the inspection group. You will then see which chapters are included in the checklist for that inspection group. You can deselect chapters by clicking their checkbox, thereby disabling them.


By clicking the arrow  next to the checkbox of a chapter, you can open it and view the checkpoints included in that chapter. Here as well, you can remove or (re)add individual checkpoints to the checklist by clicking their checkboxes.




You can also define the scope of the service options you have created (under the "Options" menu) in the same way described above.



Editing checkpoints


Do you want to rename individual chapters or checkpoints? Or even add new checkpoints or chapters? Then the "Edit checks" menu is the right place for you!


First, select the inspection group you want to edit, such as solar panels, substructure, or inverters.



Now, the right column will display all available chapters and checkpoints for the selected inspection group.




To edit a chapter title or checkpoint, click on the corresponding row. The following editing options are available:


1. Move / Reorder Chapters and Checkpoints


You can change the order of individual checkpoints or entire chapters.

To do this, click on the handle icon before the corresponding checkpoint or chapter title and drag the checkpoint or chapter to the desired new position while holding the left mouse button.


If needed, you can even move checkpoints to a different chapter.


2. Rename Chapters and Checkpoints


If the name of a checkpoint or a checklist chapter doesn't fit your needs, you can easily rename it.


To do this, click on the row of the checkpoint or chapter. A detailed view of the checkpoint or item will then open in the right column. Click into the text field with the name of the checkpoint or chapter and overwrite the existing entry with the desired new name. The system will automatically save the changes.





3. Translate chapters and checkpoints into other languages

For predefined checkpoints and chapter titles in TabTool, translations are provided by default in German and Spanish. If you change the name of a checkpoint or chapter, you should also update the translation, especially if there are users who access TabTool in a language other than English.

Additionally, you have the option to set up translations in other languages supported by the system.


To do this, click on the arrow icon next to the language setting in the detail view of a checkpoint or chapter title (right column). This will open a translation menu where you can enter or edit translations for all languages supported by the system.





You can also translate the dropdown list with the answer options of a checkpoint into additional languages if needed.


4. Create New Checkpoints and Chapters

You can expand inspection checklists with as many additional checkpoints and chapters as needed. To create a new checkpoint, first select the inspection group and the checklist chapter where you want to add the checkpoint.


At the end of each checklist chapter, you will find a text field labeled "New check."



The text field for creating a new inspection chapter is located at the end of the checklist overview for an inspection group.




To create a new checkpoint or chapter, enter the desired name in the corresponding text field and then click on "+".




The new checkpoint or chapter is now created and will appear in the checklist. By clicking on the list entry, the detail view of the new checkpoint or chapter will open in the right column. Here you can create translations, edit the dropdown list of the checkpoint/chapter and delete it if needed.


5. Expand Dropdown Lists of Checkpoints

For the checkpoints of an inspection list, TabTool has dropdown lists with predefined answer options.



In the "Edit checks" menu, you can expand these dropdown lists with additional answer options if needed.


To do this, select the corresponding checkpoint in the checklist overview. In the detail view of the checkpoint on the right column, the dropdown menu associated with the checkpoint will be displayed. Below it, you will find a blank text field. You can enter the additional answer option you want in this field.




You can create as many additional dropdown entries as you like. However, keep in mind that the list may become confusing if it contains too many entries. Custom entries can be deleted if needed, but entries predefined by TabTool can not be removed.


If there are users in your TabTool package who use the software in languages other than English, it is advisable to click on the arrow icon next to the language setting of a new dropdown entry to directly provide a corresponding translation.


6. Hide or Delete Chapters and Checkpoints

If you find that you do not need individual checkpoints of a checklist or even entire inspection chapters, you can remove them from the checklists in the inspection order in two ways: 


a) Delete chapters and checkpoints


If you are certain that a checkpoint or an inspection chapter is no longer needed, you can delete it. To do so, select the checkpoint or chapter in the checklist overview and click the delete icon in the detail view on the right column.



A notification window will appear, asking you to confirm the deletion of the checkpoint or chapter or to cancel the action. If the checkpoint or chapter has already been completed in one or more inspection tasks, this will be indicated in the notification window.



You can see in which tasks the checkpoint or chapter has been completed in the detail view of the checkpoint or chapter.




Before deleting a checkpoint or chapter that has been filled out in an inspection task, you should ensure that the final inspection report for that task has already been created. This is because deleting a checkpoint or chapter will also remove it retroactively from all previously completed checklists, along with the entries made in them.


b) Hide Checkpoints


Instead of deleting checkpoints, you can simply hide or "conceal" them. They will still be listed in the checklist settings, but will no longer appear in the fillable checklists within the inspection task.


Especially for checkpoints that have already been filled out in some inspection tasks, hiding them is a good alternative to deleting the checkpoint.


To hide a checkpoint, click the button in the checkpoint details. It is located directly next to the delete icon.



A window will open, asking you to confirm the hiding of the checkpoint or cancel the action.




When you click "Hide," the checkpoint will be crossed out and marked with a symbol in the checklist overview. This indicates that you have successfully hidden it and it will no longer be displayed in the inspection task.



If you want to unhide the checkpoint at a later time, go to the "Edit Checks" menu, select the checkpoint, and click the button in the checkpoint details.
