Record Travel and Work Time in the TabTool App

In TabTool PV O&M, users can record their working hours, document travel times and enter vacation and other absences.


These functions are available in both the mobile TabTool app and the web application TabTool Office, provided that the "Time Tracking" module is activated.


You can tell that the module is active in your TabTool package by the quick selection icon in the top-left corner of the colored menu bar in TabTool Office. When you open the settings menu, located in the top-right corner of the menu bar, you'll see the button in the "Modules" section.





In the TabTool app, you can find the quick access icon for time tracking above the project list.




If the mentioned buttons are not available, a user with an administrator role must first activate the "Time Tracking" module. You can learn how to do this in the article "How to activate or deactivate modules."


In the following, we will focus on describing time tracking via the TabTool app, as this is the more commonly used option. However, the described time tracking functions can also be used analogously in TabTool Office.



Record Travel and Work Time in the TabTool App


In the TabTool App, you have two different options for recording travel and work times. 


a) Time Recording directly in an on-site appointment


Ideally, an on-site appointment is created in TabTool PV O&M for each field service operation. In the on-site appointment record, you as an employee can directly document your work and travel times on the PV system. 



 


Select the on-site appointment for your operation and open it. You will find the "Time tracking" section in the lower part of the on-site appointment record.




Now, tap on "Journeys" or "Time tracking" and then click the button in the top menu bar of the right column to create a new entry.




Track Travel Time


When creating a new travel time entry, the TabTool user who creates the entry is automatically registered as the driver. Additional participants can be added to the trip using the "+ Add" button if needed.



In the following, select the vehicle used for the journey.


Note: The available vehicles must first be entered in TabTool Office under 'Master Data -> Vehicles.' To learn how to edit dropdown menus in the master data, see the article on editing dropdown lists.


Once your fleet is stored in the master data, you can easily select the vehicle used from the dropdown list.


 


Additionally, specify the distance traveled, the type of trip (arrival or departure), and the departure and arrival times.




Track working time


In the on-site appointment, tap the "Time tracking" line and then tap thebutton in the top menu bar of the right column to create a new timesheet.


Specify the start and end of your working time and enter the break(s) you took in between.

If you took more than one break, you can add another entry by tapping on.



 


b) Time tracking via Quick Access


Another way to start time recording in the TabTool app is through the quick access menu. This menu is located directly above the list of your projects. 



Note: To use the quick access functions, you need an internet connection, as these access the TabTool Office web application.


Tap the button to access the quick access functions for time tracking.


In the "My  working times" section, you now have the following options:


 

Creating a new timesheet



Using the "Timesheet" function, you can record your working hours without having to create an on-site appointment for your assignment beforehand.


By tapping the "Timesheet" line, you will access an overview of your already entered working hours (if available).




Tap to open a new timesheet. Then select the project in which you want to record working hours.




The system has now created a timesheet with default times. Tap the top entry in the timesheet list to edit the time details. 



In the quick access timesheet, you can adjust the start and end of your working hours as usual by tapping the time fields.


To specify breaks, click the "New Value" button. This will set the current time as the start of the break and specify a default duration of 30 minutes. You can adjust these values by tapping them.

When you have finished editing the timesheet, tap to return to the timesheet list or tap to end the time tracking quick access.



View recorded working hours



If you tap "Time recording" in the working time quick entry menu, you can view an overview of your recorded working hours. These are broken down by month and calendar week.


Editing the time entries is not possible here.





Record vacation /absence


Tap the "Vacation / absence" line in the working time menu to enter times when you are not available for work, such as vacations, training days, or sick leave. 



If you have already entered absences or they have been noted in the system for you, you will see a list of known absences.



Tap if you want to enter a new absence. A form will then open where you can describe the absence in more detail.




In addition to the type of absence, you can specify the period during which you will be absent.

If you wish, you can also give your absence a title. 


This will be visible to other TabTool users, for example, in the deplo scheduling, along with the type of absence.
