What is the offline mode? 


To ensure that you can work seamlessly on your TabTool projects even without an internet connection, we have designed the TabTool app for mobile devices to be offline-capable.


This means that the app stores data locally on your mobile device in offline mode, instead of exclusively on the TabTool cloud server.


However, keeping all project data on your device can consume a considerable amount of storage space - especially if the projects contain many attached files such as images, plans, videos or audio data.


Therefore, we give you the option to deactivate the offline mode of the TabTool app entirely or for individual projects. Additionally, when using the offline mode, you have the option to restrict the timeframe (one year, month, or week before the current date) for which you want attached files to be available offline. 


Note: Currently (as of April 4th, 2024), the option to deactivate the offline mode is only available in the iOS version of the TabTool app. We are working on enabling this feature for the Android app as well.



What happens when I deactivate the offline mode? 


Deactivating the offline mode only affects the display of attached files such as images, documents, videos, and audio recordings that have been uploaded in TabTool and are not yet stored on your device. When you deactivate the offline mode, you will still see a preview image of these files in the TabTool app. However, you can only open the files "online", meaning with an existing internet connection on your mobile device.


Be assured: Even with the offline mode deactivated, it is still possible to work in the TabTool app without internet access and capture data without any loss. Even if you deactivate the offline mode, all data entered in TabTool is locally cached until the next time an internet connection is available.



How to deactivate the offline mode?

a) Deactivate the offline mode for all new projects


To deactivate the offline mode for all projects that have not yet been loaded onto the device in the TabTool iOS app, open the app and tap on the TabTool logo iconto open the app settings.


In the settings menu, you will find the option "Enable offline mode for new projects" under the "Attachments" section. To deactivate the offline mode, slide the green toggle button to the left.




b) Deactivate the offline mode for individual projects


To selectively deactivate the offline mode for individual projects in the TabTool iOS app, navigate to the list of your projects within the app.


For the project you wish to deactivate the offline mode for, tap and hold your finger on the corresponding list entry until it is highlighted, and a settings menu appears below it.




In the settings menu, now tap on the entry "Deactivate offline mode." You'll know the process was successful when, under the name of the corresponding project, the cloud symbol is displayed instead of a storage indication.





Setting restrictions for the offline mode


If you prefer not to deactivate the offline mode of the TabTool app but still want to save storage space, you can specify certain restrictions through the settings: 


Limit offline data to a specific time period


In the settings of the TabTool iOS app, you can determine the time period that the app should consider when loading attached data for offline use: Is it sufficient for the app to load all images, documents and videos added in the past week, or would you like to have all data from the past month or even the last 12 months available offline?


To set this for all projects, open the app settings via the TabTool logo icon and tap on the line "Download assets from" in the "Offline mode default settings" section.




Then, a window will open where you can set the desired time period for loading offline data (retrospectively from the current date).




If you want to limit the time period for loading offline data only for individual projects, select the project(s) from the list of your projects and click on the row with the project name until the settings menu appears below it.


Tap on "Offline mode settings" in the settings menu and then on "Download assets from" to set the desired time frame for loading offline data.




Load attachments only for open tasks and issues


For many users of the TabTool app, once a task or issue is completed, there is no need to continue working on it while on the go (and thus within the app). 


If this applies to you as well, you can easily reduce the required storage space of the TabTool app by deactivating the loading of images, documents, etc., for completed records (= their status is ).


To set this up for all projects, open the app settings via the TabTool logo icon. In the "Offline mode default settings" section, you will find the line "Don't download assets for files marked as done". To activate this setting, slide the toggle button to the right.




If you want to prevent the loading of file attachments in completed records only for specific projects, select the project(s) from the list of your projects and click on the row with the project name until the settings menu appears below it.


Tap on "Offline mode settings" in the settings menu and then on "Don't download assets for files marked as done" to activate this setting for the selected project.
